Last updated: 21 July 2026

Who we are

Heat Gap Heating, Gas & Plumbing (“we”, “us”, “our”) is a heating, gas and plumbing business based at 4 Queens Ct, St Albans AL1 4TF, United Kingdom. We operate the website heatgap-heatingandplumbing.co.uk.

For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the data controller for the personal information described in this policy.

If you have any questions about this policy or how we handle your data, contact us at info@heatgap-heatingandplumbing.co.uk or on +44 7507 554236.

What information we collect

We only collect information that we need in order to quote for work, carry it out, and keep proper records.

Information you give us directly. When you complete an enquiry form on this website, call us, email us, or speak to an engineer, we may collect:

  • Your name
  • Your phone number
  • Your email address
  • The service you are enquiring about
  • Your property address, where needed to attend or quote
  • Any details you choose to include about the job

Information collected automatically. Like most websites, our hosting and caching software records basic technical data such as your IP address, browser type and the pages you visit. This is used to keep the site secure and working properly.

Information relating to work carried out. Where we complete gas work, we record appliance details and safety check results as required by Gas Safe Register rules, and we may retain job notes, photographs of work and invoicing records.

How we use your information

We use your personal information to:

  • Respond to your enquiry and provide a quotation
  • Arrange and carry out the work you have asked us to do
  • Contact you about an appointment, or to follow up after a visit
  • Issue invoices and keep accounting records
  • Issue and retain gas safety certificates (CP12) and service records
  • Send renewal reminders where you are a landlord and have asked us to
  • Meet our legal, safety and regulatory obligations

Our lawful bases for processing

Under UK GDPR we must have a lawful basis for using your data. We rely on:

  • Contract — where processing is necessary to quote for or carry out work you have requested.
  • Legal obligation — where we must keep records, for example gas safety records and tax and accounting records.
  • Legitimate interests — to run and improve our business, keep the website secure, and respond to enquiries, provided your rights are not overridden.
  • Consent — where you have ticked the consent box on an enquiry form, or otherwise agreed to be contacted. You can withdraw consent at any time.

Website enquiry forms

Our enquiry forms are provided by Elementor Pro. When you submit a form, the details you enter are emailed to us and may also be stored in the website database so we do not lose your enquiry. We use this information only to respond to you and to arrange any work that follows.

Cookies and website analytics

Our website uses a small number of cookies. Some are strictly necessary to make the site function, and our caching plugin may set cookies to serve pages quickly. We do not use cookies to build advertising profiles about you.

You can block or delete cookies through your browser settings. Please note that blocking strictly necessary cookies may stop parts of the site working properly.

Who we share your information with

We do not sell your personal information to anyone. We may share it with:

  • Our website hosting provider, which stores the site and its database
  • Our accountant and accounting software, for invoicing and tax records
  • Gas Safe Register, where we are required to notify gas work
  • Suppliers or manufacturers, where needed to register a warranty on your behalf
  • Letting agents or landlords, where you are a tenant and we have been instructed by them
  • Professional advisers, insurers, or authorities where we are legally required to do so

How long we keep your information

We keep enquiry details for up to two years if the enquiry does not lead to work, so we can pick up the conversation if you come back to us.

Where we have carried out work, we keep job and invoicing records for at least six years to meet HMRC requirements. Gas safety records, including landlord CP12 certificates, are retained for at least two years in line with Gas Safe Register guidance, and often longer as part of the property’s service history.

Your rights

Under UK data protection law you have the right to:

  • Ask what personal data we hold about you, and receive a copy
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your data, where we are not legally required to keep it
  • Ask us to restrict how we use your data
  • Object to processing based on our legitimate interests
  • Withdraw your consent at any time, where consent is our lawful basis

To exercise any of these rights, email info@heatgap-heatingandplumbing.co.uk. We will respond within one month.

How we protect your data

Our website is served over an encrypted HTTPS connection. Access to our systems is limited to people who need it to do their job, and we take reasonable technical and organisational measures to protect your information against loss, misuse or unauthorised access.

Complaints

If you are unhappy with how we have handled your personal data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority, at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. Any changes will be published on this page with a revised “last updated” date.
